Chapter 1 General Provisions
Article 1 (Name)
This association is called the Japan Association of Childcare Dentistry, a general incorporated association (hereinafter referred to as "this association").
Article 2 (Purpose)
The purpose of this association is to promote the development and dissemination of childcare dentistry and to contribute to the improvement of children's oral health.
Article 3 (Location)
The secretariat of this Association shall be located in Osaka City, Osaka Prefecture.
Chapter 2 Membership
This applies to all websites within the following domains owned by our association.
Article 4 (Definition of Members in the Association Rules)
In these rules, a member is defined as a member who agrees with the purpose of the Association and participates in and cooperates with its activities, as opposed to a member under the Companies Act (hereinafter referred to as "employee"), i.e. an employee with voting rights.
Article 5 (Types of Members)
The Association's members are classified as follows:
1. Regular member of the Dentist Division
Individuals who have joined the organization because they agree with its objectives and who are qualified as dentists or childcare workers
2. Associate member of the Dentist Division
Individuals who agree with the purpose of our organization and have joined the association, and who are qualified as dentists but not as childcare workers
3. Regular member of the Dental Staff Division
Individuals who agree with the purpose of our organization and have joined the association, who are dental hygienists, dental technicians, or dental assistants, and who have qualifications as childcare workers.
4 Dental Staff Division Associate Member
Members who have joined the association because they agree with its objectives, but are not qualified as dental hygienists, dental technicians or dental assistants, and do not have childcare worker qualifications.
5. Childcare Worker Division Member
Members who agree with the purpose of our organization and have joined the association, are qualified as childcare workers, and are not dentists, dental hygienists, dental technicians, or dental assistants.
第Article 6 (Membership)
Anyone wishing to join the Association must apply using the prescribed form and obtain approval from the Representative Director.
Article 7 (Membership Fees)
Members must pay the annual membership fee set by the Board of Directors. The amount and payment method of the membership fee will be determined separately.
Article 8 (Withdrawal)
A member may voluntarily withdraw from the Society by completing the procedure in the prescribed form. However, any membership fees already paid will not be refunded.
Article 9 (Expulsion)
If a member falls under any of the following items, he/she may be expelled by a resolution of the Board of Directors.
- When an act has been committed that damages the reputation of the Association or goes against its objectives
- When membership fees are overdue for three months or more
- When the reputation of the Association has been seriously damaged
- Any other inappropriate conduct on the part of a member is deemed to have occurred.
Article 10 (Rights)
- Members have the right to receive a reduction or exemption from the participation fee for seminars and training sessions organized by the Association. The amount of the reduction or exemption varies depending on the membership type and the type of seminar.
Article 11 (Obligations)
- Members are obligated to abide by the Association's rules and regulations and to cooperate with Association activities.
- Members must pay their membership fees by the due date each year.
Article 12 (Disclosure of Member Information)
In order to promote stronger ties with local nursery schools, the locations of members will be made public on the Association's website.
Chapter 3 Officers
Article 13 (Types and Number of Officers)
The Association shall have the following officers
- Representative director 1 person
- 2 vice representative directors
- Several directors
Article 14 (Election of Officers)
The Representative Director shall be elected at the General Meeting of Members, and the Vice Representative Director and Directors shall be appointed by the Representative Director.
Article 15 (Term of office of officers)
The term of office for officers is two years and they may be reappointed. However, in the event of a vacancy, the term of office of a replacement officer shall be the remaining term of his/her predecessor.
Chapter 4 General Assembly
Article 16 (Types of General Meetings)
The general meetings of the Association shall consist of regular general meetings and extraordinary general meetings.
Article 17 (Convening of General Meetings)
Regular general meetings are convened once a year by the Representative Director. Extraordinary general meetings are convened by the Representative Director when the Board of Directors deems it necessary or when requested by one-fifth or more of the members.
Article 18 (Matters to be resolved at the General Meeting)
The general meeting will decide on the following matters
- Changes to the Constitution
- Appointment and dismissal of officers
- Business plan and budget approval
- Approval of business reports and financial statements
- Other matters deemed necessary by the Board of Directors
Article 19 (Resolution)
The agenda of the general meeting shall be decided by a majority vote of the members present.
Chapter 5 Accounting
Article 20 (Fiscal Year)
The Association's fiscal year begins on April 1st of each year and ends on March 31st of the following year.
Article 21 (Accounting Audit)
The Association’s accounts will be audited by the Auditors and reported to the General Meeting.
Chapter 6 Secretariat
Article 22 (Secretariat)
A secretariat will be established to handle the affairs of the Association. The organization and operation of the secretariat will be determined separately by the Board of Directors.
Chapter 7 Supplementary Provisions
Article 23 (Supplementary Provisions)
Any matters not provided for in these rules will be determined separately via a resolution from the Board of Directors.
Fees
Article 1 (Types and amounts of membership fees)
The types and amounts of membership fees are as follows
- Dentist Section Annual Membership Fee: 12,000 yen/10,000 yen (Regular Member/Associate Member)
- Dental Staff Division Annual Membership Fee: 6,000 yen/3,000 yen (Regular Member/Associate Member)
- Childcare Worker Association Annual Fee: 1,000 yen
Article 2 (Membership Fee Payment Method)
Members shall pay their annual membership fees in one of the following ways:
- Credit card
- Bank transfer
Article 3 (Deadline for payment of membership fees)
Annual membership fees are to be paid by April 30th of each year. However, in the case of new members, the fees are to be paid by the end of the month following the month of joining.
Article 4 (Delayed payment of membership fees)
If a member is three months behind on paying his/her membership dues, the member may be expelled unless there is a valid reason.
Article 5 (Refund of Membership Fees)
Membership fees already paid will not be refunded under any circumstances.
Article 6 (Changes in Membership Fees)
The amount of membership fees and the method of payment may be changed by resolution of the general meeting.
Personal Information Protection Regulations
Article 1 (Definition of Personal Information)
In these regulations, "personal information" refers to information that can identify a specific individual, such as a member's name, address, telephone number, and email address.
Article 2 (Collection of Personal Information)
The Association will collect personal information of its members to the extent necessary for the following purposes
- Membership registration and management
- Information on newsletters, seminars, events, etc.
- Contact regarding the operation of the Association
- Other tasks necessary to achieve the Society's objectives
Article 3 (Use of Personal Information)
The Association will use collected personal information for the following purposes.
- Achievement of the objectives set out in Article 2
- Providing and improving member services
- Responding to legal disclosure requests
Article 4 (Provision of personal information to third parties)
The Association will not provide members' personal information to third parties except in the following cases.
- When there is consent from the member
- When required by law
- When it is necessary to protect the life, body, or property of a member and it is difficult to obtain the member's consent
Article 5 (Management of Personal Information)
The Association will properly manage the personal information of its members and endeavor to prevent leakage, loss, falsification, destruction, etc.
Article 6 (Disclosure, Correction, and Deletion of Personal Information)
Members may request the disclosure, correction, or deletion of their personal information held by the Association. The Association will respond promptly to requests from members.
Article 7 (Personal Information Protection Manager)
The Association will appoint a personal information protection manager to ensure the appropriate management of personal information.
Article 8 (Revision of Terms)
These regulations may be revised as necessary in response to changes in laws and regulations and the operation of the Association. Revised regulations will be promptly notified to members.
